There are a lot of projects to complete before students come to campus – but what if everything doesn’t get done? How do you prioritize projects with schedules?

Back to school preparation can involve more than routine maintenance, repairs and sprucing up. There are capital projects that can potentially become a burden on both your schedule and the facilities management budget during this time of year.  What if there is a complete renovation of a dorm suite or deferred maintenance, like replacing a chiller in a classroom building?

Setting priorities for these projects is where colleges can rely on their National Management team. Ultimately, the school makes the choice on what needs to be accomplished, but it’s a key part of a National director’s job to evaluate needs, provide price tags and give direction so the administration can make sound, educated decisions.

And that can include thinking outside the box to get things done. Here are top 3 points to consider before making your choice:

PREPARE FOR SUCCESS:

Create a predetermined deadline for a vendor to complete a project. This might seem simple, but the key is to provide a deadline that is a week or two before the actual deadline. This leaves time to account for unexpected delays and go to Plan B if necessary.

LOWEST BID DOES NOT = BEST CHOICE:

A slightly higher cost up front can result in savings in the long run. Angie Washburn, National Director at Briar Cliff College in Sioux City, Iowa says, “We may be looking at a bid that’s a bit higher than another contractor, but I know that with the higher one we’re going to get better customer service, a commitment to a specific time schedule, proper allocation of resources and a higher quality of work.”

MOTIVATE YOUR INTERNAL TEAM:

Complete projects on time by offering small incentives. Washburn believes:
The simplest thing can mean the most. Posting positive quotes on the door to the shop area, treats with a handwritten thank you note, surprise breakfasts – all these help the staff know they’re appreciated. But, the best motivation you can give as a leader is to work side by side with your team.”

When it comes down to priorities and deadlines, sometimes hard decisions need to be made –projects might need to be deferred to a semester break. But if it can be accomplished and expectations can be met, then National will go the extra mile to make it happen.
